The Palo Alto Veterans for Research (PAVIR) is seeking a Research Coordinator to work with the Principle Investigator (PI), Dr. Oliver Aalami, to run a cardiovascular study, performing patient enrollment, follow up, compliance and regulatory duties.  The study focuses on plaque buildup in the legs that cause peripheral artery disease (PAD). The Research Coordinator will work independently and support the PI in the study management activities, such as recruiting, screening and engaging with research subjects.

This is a regular, full time (40 hrs/wk), non-exempt (hourly-paid) position.

PAVIR is a nonprofit foundation affiliated with the Veterans Affairs Palo Alto Health Care System (VAPAHCS). As a condition of employment, all PAVIR employees are required to have an approved appointment with VAPAHCS and complete a background check before they can commence work.


  • Recruit and enroll subjects for cardiovascular study
  • Drive to Livermore VA Medical Center for recruitment activities and perform follow up visits
  • Answer any study-related questions from the study subjects
  • Administer and educate study subjects on the usage of associated smartphone technology
  • Track enrollment
  • Call study subjects to remind and/or administer follow-up assessments
  • Oversee all currently active and in-closing research projects
  • Assist with all day-to-day project and office activities
  • Work closely with the PI to coordinate communication across study team members, including those at collaborating institutions. Organize meetings and conference calls and coordinate with study team members and clinical personnel
  • Act as a liaison between the study subject, the PI, the Study Sponsor, the IRB and the VA R&D, concerning any problems or adverse reactions/events related to study procedures; evaluate issues for appropriate inclusion of PI as necessary
  • Prepare, submit and maintain all required regulatory documents, including for any potential new studies to the appropriate institutions and databases
  • Responsible for maintaining full compliance with all applicable regulatory requirements
  • Assist in proper documentation
  • Assist with future study planning, grant applications and IRB submissions



  • Required: Bachelor’s degree (or equivalent combination of education and experience) in Biological Sciences or a related field;
  • Desired: Master’s degree in Biological Sciences or a related field.

License/Certification: Valid CA Driver License required.

Work Experience: 1 year of related experience required, as well as previous experience in a clinical and research environment.

Knowledge / Skills / Abilities:

  • Knowledgeable in GCP, US FDA regulations, and ICH guidelines;
  • Good understanding of clinical terminology and procedures gained through experience;
  • Demonstrated understanding of regulatory requirements regarding the clinical trial and IRB processes;
  • Ability to read and understand study/trial protocol;
  • Familiarity with digital health and mobile apps desired;
  • Proficiency with computers and database management;
  • Ability to prioritize and organize a high-volume workload and adapt to changing priorities;
  • Demonstrated ability to work independently and cooperatively;
  • Demonstrated ability to work and communicate effectively with study subjects;
  • Proven track record towards meeting goals and deadlines;
  • Proficiency with Microsoft Word, Excel and PowerPoint.

Desired: Knowledge of VA and its health care system regarding clinical research trials and understanding of VA procedures and safety regulations.

Environmental Conditions / Physical Demands:

Physical: Lifting up to 20lbs occasionally, sitting and standing for long periods of time, bending, repetitive motion, etc.

Environmental: Exposure to clinical / office environment, no wet lab.
